Stock Counting Procedures – How to Do Physical Count

Physical stock count reconciles what you think you have with what’s actually there.

Full Stock Take

Count everything at once. Usually done monthly or yearly. Time-consuming. Good for accuracy. Close the shop or count during off-hours.

Cycle Counting

Count a section each day or week. Rotate through all items over a period. Less disruptive. Catches errors gradually.

Steps

  1. Freeze transactions (or count during low-traffic time)
  2. Use count sheets or app
  3. Record actual qty
  4. Compare with system
  5. Investigate variances
  6. Adjust records
